Privacy policy statement

This privacy policy statement (hereinafter “Statement”) describes how the Finnish Union of University Professors collects, processes and discloses personal data for the management of the membership, the provision of member services and the website www.professoriliitto.fi.

1. Controller

The Controller, as referred to in the applicable Data Protection Act, is the Finnish Union of University Professors. The Controller is responsible for the processing of your personal data in compliance with this Statement and the applicable data protection legislation.

2. Collection of personal data

Your personal data can be collected by various means. We mainly collect and process personal data

  • provided by you when contacting us or using our services, for example, when becoming a member
  • generated through visits to our website
  • retrieved from other sources to the extent allowed by the applicable law, including, for example, the Trade Register, Population Information System, Business Information System and Posti’s Address Information System.

You are not obligated to provide us with your personal data, but if this is your decision, it is possible that we will not be able to offer you our services.

We collect and process, for example, the following personal information:

  • Basic information, such as your name, personal identity code and contact information (e-mail, address and phone number) as well as your preferred language;
  • Membership information, such as the date of joining, the local chapter, the date of joining the chapter, membership type, membership number, membership payment information, invoicing address, marketing consent and prohibitions, membership in the unemployment fund;
  • Employer information, such as the name of the employer, starting and ending dates of the employment relationship;
  • Member communications and related correspondence as well as documentation concerning the rights of registered subjects.
  • Positions of trust within the Finnish Union of University Professors and local chapters;
  • Data collected from the use of our website, e.g. usernames, passwords, information related to identification, log entry data, data collected from the website using cookies or similar technologies (equipment ID and type, operating system and application settings) and
  • Other case-specific information on the basis of your consent.

3. Legal basis and purpose of personal data processing

We collect and process only such personal data that is necessary for the purpose of carrying out our activities and managing the membership relationship.

We process your personal data for the following purposes:

1. Management of the membership relationship and provision of member services

We primarily process personal data for the management of the membership relationship and provision of member services, including the supervision of interests of our members. The processing of personal data is based on the membership relationship (agreement) between you and the Union.

2. Marketing

We may contact you to tell you about member benefits and to offer you services related to your membership. We may also process your personal data for marketing research and member surveys. The processing of personal data is based on our legitimate interest in providing information as part of our service and in order to market other services to you. You have the right to refuse, at any time, the use of your personal data for direct marketing purposes (see also section 8 of this Statement).

3. Service development, data security and internal reporting

We also process personal data to ensure the security of the member services and the website, to improve the quality of the member service and the website, and to develop the member services. On the basis of personal data, we can also compile internal reports for the use of the management in order to carry out our activities in an appropriate manner. In these cases, the processing of personal data is based on our legitimate interest in ensuring the proper security of member services and our website, as well as in receiving adequate and appropriate information for the development of member services and the management of our operations.

4. Legislative compliance

We may process your personal data in order to meet our legal obligations, e.g. with regard to accounting or to carry out data requests from the authorities (e.g. tax authorities) as required by law.

5. Other purposes to which you have consented

We also process your personal data for other purposes if you have given your consent for such processing.

4. Transfers and disclosure of personal data

We may disclose personal data to third parties:

  • to the extent allowed or required by law in cases such as delivering membership fee payment data to the Tax Administration, replying to a data request presented by a competent authority or disclosing data for the purposes of a judicial process;
  • when, based on our assignment, our co-operative partners process personal data on our behalf and according to our instructions. We shall always process your personal data in an appropriate manner;
  • when, based on our assessment, it is necessary to disclose data for the purposes of exercising our rights, protecting your safety and the safety of others, investigating misconducts or replying to requests from public authorities;
  • based on your consent, to parties included within the scope of the consent, for instance, for the purposes of offering you the membership benefits of our co-operative partners;
  • to the Unemployment Fund for Education and Science, if you have notified that you are a member of the fund when filling out your membership application;
  • to shop stewards and labour protection delegates;
  • to the AIG Europe Limited, Fennia and IF insurance companies, to verify your membership in the Finnish Union of University Professors in connection with the processing of a contingency related to a valid insurance;
  • to the local chapters of the Finnish Union of University Professors, name and contact information, primarily in connection with member communications and events;
  • to Sanoma Magazines, name and address for the delivery of the member magazine;
  • to ForssaPrint, name and address for the delivery of Acatiimi magazine.

5. Transfer of personal data outside the EU or EEC

We may transfer personal data outside the EU or EEC when the co-operative partner, who has been given an assignment by us, is located outside these territories. In these cases, we will take appropriate protective measures to ensure the rights and freedoms of registered subjects in accordance with applicable data protection legislation, such as the EU General Data Protection Regulation (679/2016).

6. Cookies

The website www.professoriliitto.fi.uses cookies and other similar technologies. Cookies are small text files placed on your device to collect and remember useful information for the purpose of improving the functionality and usability of our website. We may also use cookies and other similar technologies for statistical purposes, such as compiling statistics on website usage in order to understand how users utilise our website and to improve the user experience.

You can prevent the setting of cookies, restrict the use of cookies or delete cookies from your browser. Since cookies facilitate the functionality of our website, restricting the use of cookies may affect the usability of the website.

7. Storage of personal data

Personal data will only be stored for as long as it is necessary for the purposes specified in this Statement.

Personal data is stored for the duration of the membership relationship. Personal data may also be stored to the extent permitted or required by applicable law even after the termination of the membership relationship. For example, after the termination of the membership relationship, we typically retain personal data that is necessary to respond to demands or claims in accordance with the applicable limitation period provisions. We may also, for example, store personal data to the extent necessary in order to comply with your prohibition concerning direct marketing.

Personal data will be removed when the storage of personal data is no longer necessary for the fulfilment of the law or for the rights or obligations of either party.

8. Your rights

You have the right to inspect your personal data. You can also request the rectification, updating or erasure of your personal data at any time. Please note, however, that such personal data that is necessary in order to perform the purposes defined in this Statement or required to be stored by law cannot be erased.

You have the right to object to or restrict the processing of your personal data to the extent allowed by the applicable law.
According to the applicable law, you have the right, in certain cases, to transfer the personal data provided to us from one system to another, or to receive your personal data in a structured, widely used and machine-readable format and to transfer your personal data to another controller.

Whenever the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. In these cases, we will not continue to process your personal data unless a legal basis for the processing exists.

If you feel that the processing of your personal data is not being handled properly, you have the right to consult the Data Protection Ombudsman. You can find the contact details for the Office of the Data Protection Ombudsman from the website.

9. Data security

We shall perform the appropriate measures (physical, digital and administrative) in order to protect the personal data against loss, destruction, misconduct and unauthorised access and disclosure. For example, the personal data can only be accessed by persons who require the data in order to perform their work assignments.

Please note that even appropriate measures cannot prevent all possible security breaches. We will notify you of personal data breaches as prescribed by the applicable law.

We reserve the right to change this Statement. We shall inform you of the changes on our website, www.professoriliitto.fi, where you can also find the latest version of this Statement.
